Sue called the meeting to order

● Approve Minutes. Stefani motioned to approve the minutes. Jay seconded. All in favor.

-Coin Drop Planning
○ Saturday, May 24th
○ Amanda: Asked Harley Brown if we can count the coins in his office.
○ Check for coin rolls. Justin will inventory the coin rolls. Out of a 512 box.
■ 58 total rolls with all 4 denominations
■ 1 penny roll
■ 3 .25 cent rolls
■ 29 .10 cent rolls
■ 35 nickel rolls
○ Sue said we usually do over a $1000 in quarters alone. Sue will Purchase
another 512 box. So we have extra for next year.
○ A Town employee must be present to pick up the coins and bring them to
town center to go in the vault. SH will contact Susanne to find out which
town employee can take the coins to the vault.
○ Vests are approved and ready.
○ Check sign up genius form for last year’s sign up to see who to contact to
help again.
○ Get Jay the URL for online donation. He will ask Connie if the donation
link is set up.
● -Police presence and Flaggers on day of parade
○ Jay will talk Josh about the day of parade and how to have required police
presence.
○ Two years ago the shared Hinesburg and Richmond police effort worked
well.
○ The certified flaggers can help with flagging, but still need police
○ Rebecca is in the parade so can’t help with flagging.
○ Who else can be volunteer flaggers? Jay will reach out to the list of people
on the certified list of flaggers. Tom may know some people also
○ Amanda and Sue called Chris Haggerty and Andy Squires and Jerry
Levesque
○ Double check the total number of flaggers needed prior to next meeting
● -Promotion of Parade and vendors
○ Rebecca: Northfield Savings Bank agreed to be a Platinum sponsor!
■ = $1000 donation level
○ It will be the Northfield savings bank Fun Run. Will add their logo to
promotion materials.
○ Rebecca will update the Sponsor form to show that Platinum is taken for
2025 and what other levels are available.
■ Tom requested a copy of the sponsor form.
○ We will ask Dexter if he can make the flyer again this year.
○ Tom: who were the $500 sponsors last year
■ Birds Eye
● -Action item check ins
○ Karaoke: Brian Moreau has agreed to do it again this year. He has been
great in past years.
○ Jay will talk to Brian about the cost.
○ Jay will contact Richmond Community Band to see if they are available
and planning to play at 1:00.
○ Stefani will find the schedule for the 4th of July and send it to everyone
after the meeting.
○ Sign up forms are live on our town page. Duncan has been great about
posting and getting those up. Thank you!
● Vendors: sign ups are starting. Will get an updated list from Dunacn sent the list.
Stefani will make larger copies before the next meeting.
○ Rebecca - will start larger promotion on Facebook, FPF and other areas
○ Vendor Sign Up form
● Question from an individual about being a vendor to do a “yard sale” booth. It is
ok to do that but he needs to sign up as any “for profit” vendor would and pay the
$100 fee. He does not have non-profit status.
○ SH will reply to him to let him know.
● Reviewed the updated fry wagon bid sheet and it looks good. Jay noted it is on
the selectboard agenda for Monday.
● -Meeting Planning
○ Meet again in 2 weeks. Last meeting before coin
○ Halloween on the green. Jay will email Rebecca French, Halloween on the
green about kids games.
○ Next meeting: review Logistics Planning Sheet and assign people in
charge
